This policy explains how Practice Partner collects, uses and protects personal data when you visit our website, contact us or use our platform, and the rights you have over that data.
Practice Partner is a collaboration between The Virtual Forge and Leading Results. In this policy, "Practice Partner", "we", "us" and "our" mean [Legal entity name], a company registered in England and Wales (company number [number]), registered office [address].

When people use Practice Partner, the platform processes rehearsal content on behalf of their organisation. This can include text and speech transcripts, audio where speech is enabled, scores, evaluations, coaching feedback and usage analytics.
The subscribing organisation is the controller of this data and decides who can access it and how long it is kept. We process it only on the organisation’s documented instructions and under a data processing agreement. If you have a question about platform data, please contact your organisation first. We will help them respond.
Practice Partner uses artificial intelligence to play conversation partners, transcribe speech and generate coaching feedback. We use carefully selected AI providers under contracts that restrict how they can use the data.
Your content is not used to train third-party foundation models. AI-generated feedback is designed to support development and should not be the sole basis of decisions with legal or similarly significant effects on individuals. [Confirm with AI provider terms before launch.]
Some of our providers are based, or process data, outside the UK and European Economic Area. Where this happens we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK International Data Transfer Agreement or Addendum, or the EU Standard Contractual Clauses.
We use technical and organisational measures appropriate to the risk, including encryption in transit and at rest, access controls and monitoring. No system is completely secure, but we work to protect your data and will notify you and the regulator of a breach where the law requires.
Under UK data protection law you have the right to:
To exercise any of these rights, email privacy@performancepartner.ai. We will respond within one month. There is normally no charge.
Our website is intended for business users. We do not knowingly collect personal data from children through this website. Where the platform is used in education, the institution is responsible for the appropriate basis and safeguards.
We may update this policy from time to time. The date at the top shows when it was last changed. Where changes are significant, we will let you know.
Email privacy@performancepartner.ai or write to us at [registered address]. [Add Data Protection Officer or UK/EU representative details if appointed.]
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
